Free is permanent — not a trial, no countdown clock, no credit card required to sign up. You can run your agency on it indefinitely; you only pay when you need more bands and shows than it covers, or when you want the Marketing module, email sending, AI features or extra team seats.

What's the difference between Free, Starter, and Pro?

Free ({freeMonthly}): 1 band, up to 10 shows, up to 10 contacts, and 10 of your own venues. Full contracts, invoices, settlements, EPK builder and Band Space. One seat. No Marketing module, so no email sending, and no AI features or shared venue catalogue. Starter ({starterMonthly}/mo or {starterYearly}/yr) is the booking plan: unlimited bands, shows and contacts, the full venue catalogue, and AI features on your own Anthropic API key, with daily and monthly limits you set. One seat, extra seats {addonMonthly}/mo each. Contracts carry a small "Digitainment" footer. Starter has no Marketing module. Pro ({proMonthly}/mo or {proYearly}/yr) runs the whole act: everything in Starter, plus the Marketing module with Mailchimp integration and 500 emails a month (100 a day), 4 seats — your admin login plus 3 bonus seats — the Digitainment footer removed from contracts and emails, and the Logistics and Label Services modules at no extra charge. Social slots and a custom sending domain ({domainMonthly}/mo or {domainYearly}/yr) are Pro add-ons; once verified, the domain raises the cap to 5,000 emails a month and removes the daily cap. Do I need a credit card to sign up?

Yes. Cancelling keeps your access until the end of the period you've already paid for — no immediate cutoff, no penalty. You drop back to Free, not to nothing.

Each is billed and cancelled independently - cancelling one seat, slot or module never affects the rest of your plan.

Do you take a commission on merch sales?

No — 0%, on every channel. Merch is a flat-priced module - {merchMonthly}/mo on any plan - rather than sold as a revenue share, so whether you sell at the merch table, by mail order or through your online shop, we take nothing from it. Digitainment never handles the money either: PayPal payments go to your own PayPal address, and card payments go to your own connected Stripe account, so the full amount reaches you directly and we simply record the sale, move the stock and put it into that show's settlement. That holds for every card route — your online shop, a Stripe card reader at the merch table, or a payment you took in the Stripe app and logged here. No listing fees, no per-sale fee from us, and no cut of your shipping. Your payment provider's own fees still apply — PayPal's percentage or Stripe's per-transaction fee, for example — but that is between you and them and never passes through us.

Question 10

Can multiple people share one login?

Accepted Answer

No — a seat belongs to one person, and everyone on your team should have their own login. Permissions, band access and the record of who changed what are all tied to the individual account, so a shared login loses all of that. What one seat does cover is that person's own devices: you can be signed in on up to 4 at once, so a laptop, phone, tablet and studio machine all work without signing out. A 5th sign-in is blocked until you sign out somewhere else, and you can see and end active sessions from your profile menu. If you need to add people, extra team seats are an add-on on Starter and Pro.

Question 11

Why do I need my own API key for AI?

Accepted Answer

Because you pay for what you use, directly, at cost. AI is expensive and priced per use, so building it into a flat subscription would mean either charging everyone for what a few people use, or capping it so low it isn't useful. Instead you connect an account with Anthropic — the company behind Claude — and they bill you for exactly what you use. Most agencies spend a few euros a month. Heavy users pay more, light users pay almost nothing, and nobody subsidises anybody.

What is an API key?

A long password that lets one piece of software use another on your behalf. You create one in your Anthropic account, paste it into Digitainment once, and we use it to run AI features for your agency. It stays encrypted, it's never shown again after you save it, and you can remove it whenever you like.

Question 13

How do I set it up?

Accepted Answer

Four steps, about five minutes. Create an account at console.anthropic.com. Add some credit — you can start with the minimum. Go to API Keys and create a key; it starts with sk-ant-. Then in Digitainment go to Dashboard > Settings > AI, paste it in and save. We check it with Anthropic straight away, so you'll know immediately if it worked.

Question 14

What will it cost me?

That's between you and Anthropic, and their dashboard is the honest record of it. As a rough guide, a venue search or a piece of generated copy costs a few cents. An agency using AI daily typically lands in single-digit euros per month. We deliberately don't show you a euro figure in Digitainment: any number we calculated could disagree with your real invoice, and a wrong number is worse than no number.

What's an “AI action”?

One thing you ask for. Searching the web for a venue is one action. Generating a campaign post is one action. Generating a personalised pitch is one action, even though it searches the promoter first and then writes — you clicked once, so it counts once. Reading a venue that's already in our catalogue costs nothing at all, because no AI runs.

Can I stop it running up a bill?

Accepted Answer

Yes, and one of the limits is always on. You set a daily cap and an optional monthly cap in Settings > AI, counted in actions. The daily cap can't be switched off — it's what stops a fault or a stuck loop spending your money while you're not looking. To be clear what these are: they cap how many times AI runs, not how many euros Anthropic charges. Your real spending limit lives in your Anthropic account.

Question 17

What happens if I remove the key, or it stops working?

AI features stop and everything else carries on exactly as before. If Anthropic rejects your key or your balance runs out, we tell you which of those it is and where to fix it, rather than showing a generic error. Nothing else in Digitainment depends on AI.

Do you use my data to train AI?

Accepted Answer

No. We don't train models on your data, and we don't share it between agencies. When you use an AI feature, the relevant records go to Anthropic under your own key to answer that one request. Your agreement for that processing is with Anthropic directly.

Is my venue research shared with other agencies?

Accepted Answer

No. Anything you research stays in your workspace. The shared venue catalogue is separate — we build and check it ourselves so we know what's in it. If you spot something wrong in a catalogue entry, editing it updates your own copy immediately and sends us the correction to review.

Which plans include AI?

Starter and above. Free plans don't have AI features even with a key connected, and the shared venue catalogue is also Starter and above.

Can I rename the assistants?

Yes. Boris (research) and Lulu (copywriting) are defaults — rename them to anything you like in Settings > AI and the new names appear throughout. You can also set a house style there, so generated copy sounds like your agency rather than generic.

Yes. Every agency's data is strictly scoped — one agency can never see another's shows, contacts, or financials.

Yes — Band Space gives each band a live portal to their own shows, documents, and settlements, without giving them access to the rest of your agency's data.

Yes — Own Domain Sends lets you email your own collected contact list directly. It is part of the Marketing module, so it comes with Pro. Sending from a verified domain of your own is a Pro add-on ({domainMonthly}/mo or {domainYearly}/yr).

What's a custom sending domain?

Instead of your emails going out from Digitainment's shared address, you connect and verify your own domain (e.g. mail@youragency.com) so mail comes from your own name — and it raises how many emails you can send. It is a Pro add-on ({domainMonthly}/mo or {domainYearly}/yr): 5,000 emails a month and no daily cap.

What is Label Services?

Label Services lets your label release its artists' music to every major store and streaming service through The Orchard, under your own label name. You prepare each release in Digitainment, we check it and deliver it. It is included with Pro: no commission and no per-release fee, and you receive 100% of what The Orchard pays us for your releases. It is for labels, managers and agencies that represent artists; we do not contract with artists directly.

Why The Orchard?

Because it is a label distributor, not an upload service. The Orchard was founded in New York in 1997 by producer and songwriter Richard Gottehrer and Scott Cohen, and was one of the first companies to distribute independent music digitally. Sony Music took a majority stake in 2012 and full ownership in 2015, so The Orchard is part of Sony Music Entertainment today, with teams in more than 40 countries. It works with labels rather than individual uploaders, does not take unsolicited music, and holds every release to its content, metadata and rights standards - which is what stores and their editors expect from it.

Why is Label Services about quality, not quantity?

Our access to The Orchard depends on the catalogue we deliver. The Orchard, and the stores behind it, judge a distributor by what comes through it: releases that are original, properly credited and legally cleared. A flood of rushed or low-effort releases would put that access at risk for every label we work with. So every release is checked before it goes, the same rules apply to everyone, and the number of tracks per month is capped. We would rather deliver fewer releases that stores trust than many they don't.

How many tracks can we release?

Accepted Answer

Up to 12 tracks per artist per calendar month, and up to 50 tracks per label per calendar month across all its artists. Back catalogue counts too. A release counts in the month it is first submitted; if it is sent back for changes, only tracks you add are counted again, and pulling a release down does not give its tracks back. An album that would go over the limit can be agreed with us as a one-off exception: ask from the release page.

What music do you accept?

Accepted Answer

Original recordings that your label has every right to release. You must own or control the master recordings and hold every licence behind them: artist and producer agreements, sample clearances, remix permissions and artwork. We do not accept AI-generated audio, cover versions, soundalikes or tributes, karaoke, audiobooks, generic relaxation or "functional" content, keyword-stuffed titles, fake or generic artist names, or releases without a clear chain of title. Every release also has to meet The Orchard's own content and metadata requirements, and we may refuse or remove a release that does not.

Why no AI-generated music or cover versions?

Accepted Answer

AI-generated content is not accepted by The Orchard, and stores are actively removing it; delivering it would risk the release and our access for every label. Cover versions need mechanical licences that differ by territory and are a frequent source of disputes and takedowns, so we distribute original recordings only. If a release uses a sample or a remix of someone else's work, it can still be delivered, as long as the clearance is in place and documented.

Do we have to prove that we own the rights?

Yes. On every release you confirm that you hold the master, artwork and licence rights and that the release contains no AI-generated audio or covers. New labels also upload the documents that prove it with every release - artist or producer agreements, licences, sample clearances - and they travel with the release when we deliver it. Once a label has a track record we may switch it to documents on request, and we can ask for proof at any time. Before your first release, your label also accepts the Label Services Terms in the app.

Can I message promoters on WhatsApp from Digitainment?

Accepted Answer

Yes. Any contact whose phone number is stored in international format gets a WhatsApp button, both on the show and on the contact record. Clicking it opens a box holding an opening line already written for you — band, city and date — which you can edit before WhatsApp opens with that text in its composer. You still press send in WhatsApp yourself.

Can I send a contract or an invoice?

Not as a file attachment — the WhatsApp button carries text only. Send a link instead: on the show page, the Contract and Invoice buttons each have a dropdown with a copy button, so the link can be pasted straight into the message. A link is better than an attached PDF anyway: it stays current if the deal changes and it can be switched off later. Invoice links need the public show page switched on.

Question 39

Why is the WhatsApp button missing on some contacts?

Accepted Answer

The number has to be stored in international format, with the country code: +49 170 1234567 rather than 0170 1234567. A local number cannot be dialled from another country, and Digitainment will not guess the country code — a wrong guess would open a conversation with a stranger. Add the country code to the contact and the button appears.

Where does the conversation actually live?

Accepted Answer

In WhatsApp, on your own account, exactly as if you had opened WhatsApp yourself. Digitainment does not store, read or send your messages — it only opens the right conversation with the show details filled in. That also means the thread does not come back into Digitainment.

Which WhatsApp does the button open?

Accepted Answer

Whichever one you are signed into on that device: WhatsApp Web, the desktop app, or WhatsApp Business. If you keep work conversations in WhatsApp Business, sign into that one first, and your promoter chats stay alongside the rest of your business chats.

Does the promoter need a Digitainment account?

Accepted Answer

No. An ordinary WhatsApp message arrives from your number and Digitainment is nowhere to be seen. Nothing is asked of them — no app, no login, no link to click.

Is Digitainment only for European agencies?

Accepted Answer

No. We're a European company, hosted in Germany, and European agencies are who we build for first — that's where our own booking experience comes from and where most of our customers are. But nothing in the product is hard-wired to Europe. Set your agency's country and everything regional follows from it: whether you charge VAT or US sales tax, and how that tax behaves — VAT comes out of the shelf price, US sales tax goes on top at the till. Invoices, contracts and merch relabel themselves accordingly, down to "VAT number" becoming "EIN / Tax ID". The rest is yours to set independently: over 40 currencies including the dollar, euro, pound, and the Nordic krone and krona; dates as Oct 31, 2026 or 31 Oct 2026; a 12- or 24-hour clock; distances in miles or kilometres; and PDFs in US Letter or A4, which matters more than it sounds — A4 prints clipped on most US printers. Each of those follows your country by default and can be overridden on its own, so a US agency touring Europe can keep Letter riders while switching distances to kilometres. Two honest limits. We don't look up US sales tax rates for you — you enter the rate you charge, and registration and filing stay with you and your accountant. And your data is hosted in the EU wherever you're based, which some agencies outside Europe will want to check against their own requirements.

Do you handle US sales tax, or only VAT?

Both, and they are treated as genuinely different things rather than one label swapped for another. Set your agency's country in Dashboard > Settings and everything follows: a US agency sees "Sales Tax" and "EIN / Tax ID" on invoices, contracts and merch instead of "VAT" and "VAT number". The maths changes too, not just the wording. VAT is quoted inclusive, so tax is worked back out of the shelf price. US sales tax is quoted exclusive, so it is added on top at the till: a $25 shirt at 7.75% rings up as $26.94, not $25 with the tax buried inside. Booking fees and artist guarantees are services, which most states do not tax, so US agencies start at 0% on the booking side and switch it on per show only if their accountant says to.

Question 45

Do you work out the right US sales tax rate for me?

No, and we would rather say so plainly than imply otherwise. US sales tax is set by thousands of separate state, county and city jurisdictions and the rates change constantly. You enter the rate you charge, and we apply it consistently and record it. Because sales tax is destination-based, merch rates are set per location, so the rate at each merch table matches where that show actually is. For your online shop we charge your home state's rate on orders shipping to that state and nothing elsewhere, which is the correct position for most agencies that are only registered where they are based. Products set to 0% stay exempt everywhere, for states that do not tax clothing.

Does Digitainment register me with states or file my sales tax returns?

No. Digitainment records what you charge and shows it clearly on invoices, receipts and settlements, so your figures are in one place when you or your accountant need them. Registering with a state, tracking when you cross a state's economic nexus threshold, and filing returns remain yours. We are a booking and merch platform, not a tax service, and nothing in the product is tax advice. If you are unsure whether you should be collecting in a particular state, ask your accountant.

How does the Stripe integration work?

Stripe does two jobs. First, it collects payment for Digitainment itself: your plan, any modules you buy on their own, extra team seats or social slots, and the custom sending domain add-on are billed through Stripe Checkout, so card details go straight to Stripe and never touch our servers. From the billing page you can change card, switch between monthly and yearly, add or remove modules and add-ons, and cancel - changes take effect at the end of the period you have already paid for, and your receipts come from Stripe. Second, you connect your own Stripe account from Merch Settings, and that is the account your fans' card payments go into. Those are two separate flows: money from your customers lands in your Stripe account, not ours, and we take no commission on it. Your online shop accepts card and PayPal, and at the merch table you can take card on a Stripe card reader you pair in Settings, or charge in the Stripe app on your phone and log the sale here.

How does add-on billing work?

Each seat, social slot, module or domain add-on is its own subscription - you can add or cancel any one of them independently without touching the rest of your plan. Cancelling a module ends it at the end of the period you have already paid for, and your data stays put in case you come back.
